End-of-year IRIS Update: Thank you!

Distribution to all employees 

Dear all, 

As we are heading towards the last week of the semester, the IRIS Project Core Team wants to share a final end-of-year update with you. Below, we are responding to the feedback and questions we received via the anonymous submission form. Thank you for taking the time to engage with us on this mission-critical project, and please continue to submit your questions, thoughts and ideas. As the year draws to a close, we also want to thank everyone on campus who has pushed this project forward this year, as we have made tremendous progress toward a modern technology infrastructure at AUP. Thank you to the champions, the functional leads and team captains, the working groups, all the leaders and contributors to the UNIT4 implementation and the SIS project, as well as all the other critical pieces of the IRIS puzzle. We so appreciate your dedication and commitment to this vital work.   

With regards to how staff will be supported on the switch between CAMS and Creatrix, the Team Captains will work with the IRIS project team to help AUP communities understand their specific roles and tasks related to the current legacy systems and communicate the impact to those who are impacted by replaced, adapted, or removed processes. Please contact your relevant captain:

Employee self-service (ESS) gives you easy and direct access to many admin activities that are currently taking up more time than needed, including applying for reimbursement, updating your personal information and accessing personal documentation. ESS will save our HR team time to dedicate to more mission-critical tasks while giving you more autonomy to manage your HR data and requests. In short, it is a single place where centralized HR information, documents and processes are accessible to all employees. 

For Employees: 

  • View and update personal information (e.g., change of address, bank details) 
  • Accessing and completing forms 
    • Declaring monthly transportation for reimbursement 
    • Declaring a change in personal situations (e.g., marriage, children) 
    • Requesting a salary advance 
    • Completing your ordre de mission 
  • View employment and compensation information 
  • Accessing contractual professional documents (e.g., employment contract, riders) 
  • Submitting expense report 
  • Requesting absences 
  • Completing timesheets 

For Managers with Direct Reports: 

  • Approval of employee expense reports 
  • Approval of employee absence requests 
  • Approval of timesheets 

Features will be added progressively to include induction, competencies, exit interviews, new position requests, and position change requests. 

We remind you that each week, the CIO will hold regular hours on Wednesdays at 4 pm for your concerns, questions, or ideas. Please call him on MS Teams. If you prefer to submit your observations about the IRIS project anonymously, we will address them in the next monthly update.
